How to do multi-entity consolidation in Google Sheets without errors

1. Standardize the Chart of Accounts

One of the biggest challenges when consolidating several subsidiaries is that each entity may use a different chart of accounts in QuickBooks or its local software. Without a common structure, summing revenue and expenses across companies makes no sense.

Define a master chart of accounts (for example by class or cost centre) and add a mapping column in each entity sheet. That way, when you import, every line lands directly on the right consolidated row.

2. Handling Intercompany Eliminations

To avoid duplicating revenue or costs within the group, you must eliminate transactions between subsidiaries: sales, treasury movements, dividends and mutual debt balances.

You can do this with SUMIF formulas per entity or, better, by keeping a dedicated eliminations sheet with manually entered amounts that are subtracted in the consolidated report. What matters is that the process is auditable and reproducible every month.

  • Keep a separate eliminations sheet with a supporting note per line.
  • Reconcile intercompany balances before closing the month.
  • Document each adjustment with a reference to the original entry.

3. Real-Time Currency Conversion

If your subsidiaries operate in USD, GBP or other currencies, the exchange rate must be consistent across the whole consolidation. Use a rates sheet with the closing dates and reference every amount to that value, never to the rate you "remember".

Google Sheets can pull live rates with functions like GOOGLEFINANCE. Set the closing rate in one cell and reference it across the template so each month is a single editable value.
